Terms & Conditions

Last updated: October 2026

These Terms & Conditions apply to the use of the Promotional Print website and to products and services supplied by Promotional Print. By accessing our website, requesting a quote, placing an order, making payment or approving artwork, you agree to these Terms & Conditions.

In these Terms

  • “Promotional Print”, “we”, “us” and “our” refers to the business operating promotionalprint.com.au.
  • “Customer”, “you” and “your” refers to the person, company or organisation purchasing or requesting products or services from us.

Orders, Quotes and Payment

1. Australian Consumer Law

Nothing in these Terms & Conditions excludes, restricts or modifies any rights or remedies available to you under the Australian Consumer Law (ACL) or any other law that cannot legally be excluded. Our goods and services come with consumer guarantees that cannot be excluded under Australian law. Where the Australian Consumer Law applies, you may be entitled to a repair, replacement, refund, resupply of services or other remedy depending on the circumstances.

2. Quotes

Unless otherwise stated, quotes provided by Promotional Print are

  • Based on the information supplied by the customer;
  • Subject to artwork, product availability and final specifications;
  • Exclusive of GST unless otherwise stated;
  • Exclusive of delivery, installation or other charges unless specifically included; and
  • Valid for the period stated on the quote.

If no validity period is stated, prices may be subject to change before an order is confirmed. A quote does not constitute acceptance of an order.

We may revise a quote where

  • Specifications change;
  • Quantities change;
  • Artwork changes;
  • Material or supplier costs change;
  • Freight requirements change;
  • Additional work is required; or
  • Information supplied at the time of quoting was incomplete or inaccurate.

3. Orders

An order is considered confirmed when we have received any required

  • Written acceptance;
  • Online order confirmation;
  • Deposit or full payment;
  • Artwork;
  • Product specifications; and/or
  • Artwork approval.

We reserve the right to decline or cancel an order before production where reasonably necessary, including where a product is unavailable, incorrectly priced or unsuitable for the requested application. If we cancel an order after receiving payment and no equivalent alternative is agreed, any applicable refund will be provided in accordance with Australian Consumer Law.

4. Payment

Payment terms will be displayed on the website, invoice, quotation or order confirmation. Unless otherwise agreed in writing, production may not commence until the required payment has been received. For custom orders, deposits may be non-refundable once costs have been incurred or production has commenced, except where Australian Consumer Law requires otherwise. Ownership of goods remains with Promotional Print until all amounts owing for those goods have been paid in full, to the extent permitted by law.

5. Prices

All prices are in Australian dollars. Unless specifically stated otherwise, prices shown on our website may be displayed either inclusive or exclusive of GST. The applicable GST amount will be shown before checkout or on your quotation/invoice. We take reasonable care to ensure website pricing is accurate. If an obvious pricing or technical error occurs, we may contact you before production to correct the error and provide the option to proceed at the correct price or cancel the affected order.

6. Product Availability

Products displayed on our website are subject to availability. Promotional products and garments are sourced from multiple suppliers and availability may change without notice.

If an ordered product becomes unavailable, we may

  • Offer a suitable alternative;
  • Offer a different colour or size;
  • Place the product on backorder where appropriate; or
  • Refund the affected item where required.

We will not substitute a materially different product without your approval.

7. Product Specifications

Product photographs, colours, dimensions, weights and specifications on the website are provided as accurately as reasonably possible.

However, minor variations may occur between

  • Manufacturing batches;
  • Suppliers;
  • Garment sizes;
  • Product colours;
  • Materials;
  • Print areas;
  • Finishes; and
  • Decoration methods.

Such reasonable manufacturing variations are not necessarily defects.

Artwork, Approval and Colours

8. Artwork Requirements

Customers are responsible for supplying suitable artwork unless design or artwork services have been purchased from us.

Preferred artwork formats include

  • Vector PDF;
  • AI;
  • EPS;
  • SVG; or
  • Other high-resolution print-ready artwork.

Artwork should be prepared according to our Artwork Guidelines. Supplying a file does not necessarily mean that the artwork is print-ready. Where artwork needs to be recreated, corrected, vectorised or significantly modified, additional artwork charges may apply. We will advise you where practical before carrying out additional chargeable artwork work.

9. Artwork Approval

Where an artwork proof is provided, production will not normally commence until the customer has approved the proof.

The customer is responsible for checking all information on the proof, including

  • Spelling;
  • Names;
  • Contact information;
  • Website addresses;
  • QR codes;
  • Colours;
  • Sizes;
  • Quantities;
  • Product selections;
  • Logo placement;
  • Print locations;
  • Embroidery positions; and
  • Overall layout.

Approval may be provided by email, through the website or by another written method accepted by Promotional Print. Once artwork has been approved, the customer accepts the approved layout for production. We are generally not responsible for customer-supplied or customer-approved errors that were reasonably visible on the approved proof, except where required under Australian Consumer Law.

10. Changes After Artwork Approval

Changes requested after artwork approval may result in

  • Additional artwork charges;
  • Production delays;
  • New setup charges;
  • Material costs; or
  • Complete reproduction costs if production has already commenced.

We will advise you where possible before proceeding with chargeable changes.

11. Colours

Colours viewed on screens are not an exact representation of printed colours.

Differences may occur due to

  • Screen calibration;
  • RGB to CMYK conversion;
  • Printing processes;
  • Fabric colour;
  • Material type;
  • Ink type;
  • Embroidery thread;
  • Surface texture; and
  • Manufacturing variations.

If colour matching is important, the customer should provide a Pantone/PMS reference before production. We will use reasonable efforts to achieve a close match, but exact colour matching across different materials and production methods cannot always be guaranteed.

Production, Decoration and Intellectual Property

12. Embroidery

Embroidery requires artwork to be converted into an embroidery-ready file, often referred to as digitising. Digitising charges may apply. Customers acknowledge that embroidery may vary slightly from printed artwork due to the nature of thread, fabric and stitching. Very small text, fine lines and detailed artwork may need to be simplified. We may recommend changes to achieve the best practical embroidery result.

13. Printing and Decoration

Different products may use different decoration methods, including

  • Screen printing;
  • Digital transfer;
  • Direct-to-garment printing;
  • Direct-to-film printing;
  • Sublimation;
  • Pad printing;
  • UV printing;
  • Laser engraving;
  • Embroidery; and
  • Vinyl application.

The customer acknowledges that different decoration methods can produce different finishes and colour results.

14. Print Position and Tolerances

Decoration positions are intended to be reasonably consistent but small variations may occur because products are decorated individually.

Minor differences in the following, within normal industry production tolerances, are not necessarily defects

  • Position;
  • Alignment;
  • Dimensions; or
  • Orientation

15. Customer-Supplied Garments or Products

Promotional Print may, at its discretion, agree to print, embroider or decorate customer-supplied products. Decoration processes involve an inherent risk of damage or production failure. We will exercise due care and skill when handling customer-supplied goods. Customers should not supply irreplaceable or high-value items unless specifically agreed with us. Any exclusion or limitation concerning customer-supplied goods applies only to the extent permitted by Australian Consumer Law.

16. Intellectual Property and Customer Artwork

By supplying artwork, logos, photographs, trademarks or other material to Promotional Print, you confirm that

  • You own the material; or
  • You have permission to reproduce and use it.

You authorise Promotional Print to reproduce the supplied material solely for the purpose of fulfilling your order. You are responsible for ensuring that customer-supplied content does not infringe another person’s intellectual property rights.

17. Our Designs and Artwork

Unless otherwise agreed in writing, concepts, designs, templates, mock-ups, layouts and production files created by Promotional Print remain our intellectual property until any applicable design charges have been paid. Payment for a finished product does not automatically transfer ownership of working files, production files or editable source files unless specifically agreed.

Production Times and Delivery

18. Production Times

Production times displayed on our website or provided in quotes are estimates unless expressly stated otherwise.

Production time generally begins after

  • Payment requirements have been met;
  • Suitable artwork has been received;
  • All specifications are confirmed; and
  • Final artwork approval has been provided.

Production times do not normally include delivery time.

19. Urgent Orders

Urgent or priority production may be available depending on workload, product availability and production requirements. Additional charges may apply. An urgent production request is only confirmed once accepted by Promotional Print in writing.

20. Delivery

Delivery timeframes are estimates only. Once goods have been dispatched, delivery may be affected by circumstances outside our reasonable control, including courier delays, weather, transport disruptions and incorrect delivery information. Customers are responsible for providing an accurate delivery address. Where required by Australian Consumer Law, we remain responsible for ensuring goods ordered from us are supplied within the agreed or otherwise reasonable timeframe.

21. Authority to Leave

Where a customer provides authority for a courier to leave a parcel unattended, the customer accepts the usual risks associated with unattended delivery, subject to any rights that cannot be excluded by law.

22. Delivery Damage

Please inspect delivered products as soon as reasonably possible.

If products appear damaged in transit, please contact us promptly and provide

  • Photographs of the products;
  • Photographs of the external packaging;
  • Photographs of the shipping label; and
  • A description of the damage.

We may require this information to lodge a freight claim or assess the appropriate remedy.

23. Incorrect Delivery Details

Additional freight charges may apply if an order needs to be redirected or resent because the customer supplied incorrect or incomplete delivery details.

Cancellations, Returns and Product Care

24. Cancellations

Custom and personalised products often involve costs before physical production begins, including

  • Artwork;
  • Digitising;
  • Product ordering;
  • Setup;
  • Material allocation; and
  • Supplier charges.

If you wish to cancel an order, contact us immediately. Where production has not commenced, we may agree to cancel the order subject to recovery of reasonable costs already incurred, where permitted by law. Once printing, embroidery, engraving, manufacturing or another custom production process has commenced, the order generally cannot be cancelled for change of mind. This does not affect rights available under Australian Consumer Law.

25. Change of Mind

We are generally not required to provide a refund, exchange or credit if you

  • Change your mind;
  • Order the wrong product;
  • Select the wrong colour;
  • Select the wrong garment size;
  • Order the wrong quantity;
  • Find a cheaper product elsewhere; or
  • No longer require the products.

Any change-of-mind return or cancellation accepted by Promotional Print is entirely at our discretion unless otherwise required by law. Custom printed, embroidered, engraved or personalised goods generally cannot be returned because of change of mind.

26. Faulty or Incorrect Products

If you believe your products are faulty, damaged, incorrectly produced or materially different from the approved order, please contact us.

Please provide

  • Your order or invoice number;
  • A description of the issue;
  • Photographs showing the issue; and
  • The quantity affected.

We may require an opportunity to inspect the products. If the goods fail to meet an applicable consumer guarantee, we will provide the remedy required by Australian Consumer Law.

27. Refunds and Returns

Our Refunds, Returns & Cancellations Policy forms part of these Terms & Conditions. Nothing in that policy or these Terms limits rights available under Australian Consumer Law.

28. Samples

Product samples may be available on request. Sample charges and delivery fees may apply. Unless expressly stated otherwise, samples are supplied to demonstrate general product characteristics only, and minor variation may occur between a sample and later production batches.

29. Quantity Variations

For some custom manufacturing processes, minor quantity variations may occur. Where an overrun or underrun tolerance applies to a specific product, it will be disclosed where reasonably practicable before production.

30. Care Instructions

Customers should follow any provided manufacturer or garment-care instructions. Printed or embroidered garments should be washed and cared for appropriately. Damage caused by misuse, incorrect washing, exposure to unsuitable chemicals or failure to follow reasonable care instructions may not constitute a product defect.

36. Promotional Photography

We may photograph completed products for internal records, portfolio purposes or marketing. Where a product contains confidential, sensitive or private customer information, we will not intentionally publish that information without appropriate permission. Customers may request that their completed products not be used for promotional purposes.

37. Customer Communications

By placing an order or submitting an enquiry, you consent to receiving communications reasonably necessary to process your enquiry or order. Marketing communications will be handled separately in accordance with applicable law and our Privacy Policy.

Liability, Responsibility and Installation

38. Limitation of Liability

Nothing in these Terms excludes or limits liability that cannot legally be excluded or limited, including applicable rights under Australian Consumer Law. To the extent permitted by law, Promotional Print will not be liable for indirect or consequential loss arising from circumstances outside our reasonable control. Any limitation of liability is subject to the Australian Consumer Law and other applicable legislation.

39. Customer Responsibility

Customers are responsible for ensuring that products they order are suitable for their intended purpose where they have independently selected the product without relying on our advice. If you require a product for a particular purpose, you should advise us before ordering so we can assess whether the product is suitable.

40. Installation

Where Promotional Print provides installation services, installation requirements, pricing and conditions will be specified in the relevant quotation or order.

Additional charges may apply where

  • Site access differs from information provided;
  • Additional equipment is required;
  • Permits are required;
  • Electrical work is required;
  • Work must occur outside normal business hours; or
  • Site conditions make the agreed installation method unsuitable.

Installation services will be provided with due care and skill as required by Australian Consumer Law.

41. Site Conditions

Where installation is required, the customer is responsible for informing us of known hazards, restrictions and access requirements before installation.

This may include

  • Electrical services;
  • Plumbing;
  • Asbestos;
  • Hidden services;
  • Building access restrictions;
  • Strata requirements;
  • Working-at-height requirements; and
  • Permit requirements.

General Legal Terms

42. Force Majeure

We are not responsible for delays caused by events outside our reasonable control, such as

  • Natural disasters;
  • Severe weather;
  • Fire;
  • Flood;
  • Industrial action;
  • Government restrictions;
  • Transport disruption;
  • Supplier interruption;
  • Power failure; or
  • Other events beyond our reasonable control.

Where such an event occurs, we will take reasonable steps to minimise disruption and complete affected orders as soon as reasonably practicable. Nothing in this clause removes rights that cannot lawfully be excluded.

43. Refusal of Service

We may decline an order where reasonably necessary, including where

  • The requested content is unlawful;
  • Artwork infringes or appears to infringe intellectual property rights;
  • Products are unavailable;
  • Production would create an unreasonable safety risk;
  • The order contains abusive, discriminatory or otherwise unlawful content; or
  • We reasonably suspect fraud or unauthorised payment activity.

44. Amendments to These Terms

We may update these Terms & Conditions from time to time. The Terms applicable to an order will ordinarily be the version in effect when the order was placed, unless changes are required by law.

45. Severability

If any part of these Terms is found to be invalid or unenforceable, that provision will be read down or removed to the minimum extent necessary. The remaining Terms will continue to apply.

46. Governing Law

These Terms & Conditions are governed by the laws of New South Wales, Australia. Subject to any rights available under applicable law, disputes relating to these Terms will be subject to the jurisdiction of the courts and tribunals of New South Wales.
